How Gmail Integration Actually Works
You might be wondering: does CareerWin read all my emails? No. Here is exactly what we access, why, and how you stay in control.
What We Access
What We Scan
- ✓Specific Senders: Emails from Indeed, LinkedIn Jobs, Glassdoor, ZipRecruiter, Dice, BuiltIn, and Wellfound job alerts.
- ✓Listing Details: We extract the job title, company name, location, requirements, and compensation (if listed).
What We Ignore
- ✗Your Inbox: Personal emails, calendar invites, contacts, drafts, and sent mail are completely ignored.
- ✗Other Services: We do not access your Contacts, Google Drive, Calendar, or any other Google service.
- ✗Storage: We do not store email body text, attachments, or sender addresses beyond identifying job boards.
How the Permission Works
When you connect Gmail, Google asks you to grant us an OAuth 2.0 permission scope. We use the most restricted scope possible.
- We request read-only access to messages matching specific sender addresses.
- We cannot send emails on your behalf.
- We cannot delete emails or modify your inbox organization.
- Google verifies our access scope independently through their strict security audit process.
Google API Limited Use Disclosure: CareerWin's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- No Advertising: We never use or transfer Gmail data for serving advertisements, retargeting, or personalized marketing.
- No Data Selling: We never sell, lease, or monetize your Gmail information to data brokers, employers, or third parties.
- No Human Reading: CareerWin does not allow humans to read Gmail content except with your affirmative consent, when necessary for security or abuse investigation, to comply with applicable law, or as otherwise permitted under the Google API Services User Data Policy.
- No Generalized AI Training: We never use data received from Google Workspace APIs to develop, train, or tune generalized artificial intelligence or machine learning models.
- Prompt Revocation: You can disconnect Gmail from CareerWin at any time. CareerWin revokes or deletes its stored authorization token promptly; you can also revoke access directly from your Google Account.
What Happens to Your Data
Once we extract a job listing from an alert email, it becomes an tailored application package candidate in your dashboard.
Immediate Disposal: The original email text is not retained after the job data is extracted.
Standard Retention: The extracted job listing data follows our standard retention policy, meaning it stays in your account as long as you are active.
Full Deletion: If you delete your CareerWin account, all extracted job data is permanently deleted from our active systems within 30 days.
How to Revoke Access
You hold the keys. You can disconnect Gmail from CareerWin at any time.
- Go to your CareerWin dashboard → Settings → Integrations.
- Click "Disconnect Gmail".
- CareerWin promptly revokes and purges the stored access token, stopping all email scanning.
- Alternatively, you can revoke permission directly via your Google Account at myaccount.google.com/permissions.
Note: After disconnection, any job listings we already extracted remain in your dashboard because that data is yours. However, no new scanning will occur.
Why We Built It This Way
Most people actively job hunting get 10 to 50 job alert emails a day. Manually clicking into each one, reading the requirements, and deciding if it's a fit takes hours.
CareerWin's Smart Match Engine pulls these listings and scores them against your verified evidence base. It only surfaces the opportunities that actually meet your configured threshold.
The alternative is grim: you either spend your evenings doing this manually, or you miss perfectly good opportunities buried in the noise. We built this integration using a least-privilege approach: we access only the exact data needed to save you hours of manual review, and absolutely nothing more.
What If I Don't Want Gmail Integration?
Then don't use it. Gmail integration is entirely optional, and CareerWin functions completely without it.
Without Gmail
You manually add opportunities by clicking a button in our Chrome extension while browsing job boards, or by pasting a job description directly into the platform.
With Gmail
Opportunities are automatically pulled from your existing job alerts and queued up for your review based on match scores.
Both paths feed into the exact same tailored application package and evidence compilation system.
